Host Terms and Conditions

Hosts must understand and accept the following conditions before being represented on the ‘RG’ (RomanticGetawaysNZ.com) website:

Media

  1. RG will have full rights to utilise any video and/or image the hosts have online and to modify them wherever necessary.
  2. RG will regularly update / remove material from the RG media library when requested.
  3. RG will not create negative material.
  4. Hosts are encouraged to provide the following to RG (optional):
    • Images larger than 900 X 400 pixels
    • Links to YouTube, Vimeo or any video provided (videos of photo clips will not be accepted).

What does this mean?

RG will have the right to use any video and image (you have) to use on the RG website.  We ‘RG’, will also enhance and modify your image and video where necessary.  To have maximum marketing effect please send image resolutions as set out above.

 Host Listing Obligations:

  1. Images:
    • No objectionable material shown (i.e: nudity).
    • No branding, QR Codes or promotional material.
    • No photo shopped material shown.
    • No blurry Images.
    • Photos of people are prohibited unless permission has been granted to display.
  2. Content:
    • No hyperlinks allowed.
    • Limit to 500 characters.
    • No promotional material.
    • Content is only about your accommodation.
    • No objectionable material.
    • Listing titles must not contain the actual name of your getaway.  This adds some mystery to the location of it which enhances our point of difference.
    • Your listings must not include your Email address / address & Ph No.
  3. Amenities / Features & Details.
    • Only list what you can offer.
    • No objectionable material.
  4. Price.
    • Changes in price are to be managed by the host.
    • If booked before a price amendment the host must honour the price prior to amendment unless agreed to by RG in writing
    • Romantic Delights gift box details are compulsory and to be included as an extra service for every listing and are not to be amended.
  5. Booking:
    • The host is to keep booking calendar up to date.
    • Keep accurate status of booking calendar such as:
      • Maintenance.
      • Booking.
      • Pending.
    • In event of double booking the host must ensure:
      • RG has overall priority for booking.
      • Any additional cost incurred will be absorbed by the host.
    • Upon confirmed bookings from RG:
      • Will consider RG to be the only client of the host for that booking.
      • Continue correspondence on behalf of RG clients.
      • The host will:
        1. Not correspond to RG’s client’s without written permission from RG.
        2. Not add RG’s client’s to the host’s mailing list without written permission from RG.
        3. Not collect contact information about RG’s client’s without written permission from RG.
        4. Not allow RG’s client’s to correspond with them directly apart from the message portal provided, if all the other terms are met in this agreement.

Commission & Payment Obligations

6. Payment:

    • Upon client confirmation of booking you need to do the following:
      • Send Invoice to RG.
      • Send booking confirmation to RG.
    • RG releases payments to hosts 24 hours prior to confirmed booking unless an alternative arrangement has been made in writing.
    • Payments will be made upon receiving an invoice showing commission to RG for booking.

7. Commission Payments:

    • Commission will be at a rate agreed upon between the host and RG.
    • The invoice is to be charged with the total cost less the rate of commission.
    • The agreed rate of commission (per booking received) on accommodation only, must be inclusive of your advertised rate and not exclusive.

Initial Set Up Fee

  • An initial listing set up fee of $119 will be charged to the host.  Once the listing has been created, the host will be given access to the listing to maintain.

Changes to the T & C’s

  1. It is the responsibility of the host to advise RG of any changes in their terms and conditions and/or price increases or decreases.
  2. Hosts are to provide 30 days’ notice of their updated terms and conditions.
  3. Any bookings made, are reflective of the hosts terms and conditions at that time.  If the host fails to advise of any changes within 30 days then the following conditions are accepted to be upheld:
    • Any price increase that was failed to be mentioned will be accepted as null and void.
    • Any bookings made can only be cancelled with 30 days notice.
    • If any price decrease has occurred, then the difference in price must be refunded to RG within one working week.  RG therefore will refund that difference to the client.  Any fees incurred will be the sole responsibility of the host.
    • If a client becomes dissatisfied with the un-advised t&c then the host must rectify this to satisfy the client’s needs

What does this mean?

This is to ensure that both RG and the host can guarantee that the client remains happy with the service provided.

  •  Your clients definition:

RG requests bookings on behalf of their clients to utilise the hosts services, therefore the host agrees to the following:

  1. RG clients are not to be entered into any newsletter, promotion or marketing research unless consent is given by RG.
  2. Your primary clients are RG if those bookings are made by representatives of RG.
  3. Any problems caused by our clients are to be reported to RG via phone call within 2 hours of being aware of an issue having occurred.
  •  The host is responsible for:
  1. The health and wellbeing of our clients.
  2. Notifying all clients to any health and safety guidelines applicable in the areas that they are in.
  3. Injuries caused or obtained whilst on a booking due to host negligence.
  4. Full refund to RG if a last minute cancellation was caused due to the host’s negligence.
  • Disagreements:
  1. Are to be sent to RG in writing within 14 days of problem occurring.
  2. This will need to be conducted prior to seeking legal advice.
